Adopt a resolution authorizing an amendment to the agreement with Aramark Healthcare Technologies, LLC, to provide biomedical engineering and diagnostic imaging maintenance services, extending the term through August 31, 2018 and increasing the amount by $140,000, to an amount not to exceed $4,140,000.

BACKGROUND:
In August of 2012, the San Mateo Medical Center (SMMC) completed a Request for Proposals (RFP) for biomedical engineering and diagnostic imaging maintenance services. In November of 2012, your Board approved a five-year agreement with Aramark Health Care Technologies, LLC, to provide these services. The agreement has been amended multiple times to reflect changes in the inventory equipment list. In May 2018, SMMC released an RFP for biomedical and diagnostic imaging maintenance services and is currently in the process of reviewing the proposals.
DISCUSSION:
SMMC is requesting that your Board extend the term of the current agreement through August 31, 2018, with an associated increase in funding, to allow SMMC time to review the proposals and execute a new agreement. SMMC will be bringing a new five-year agreement to your Board for approval in July 2018.
The amendment and resolution have been reviewed and approved by County Counsel as to form.
The County’s Contract Compliance Committee has approved a waiver request to extend the agreement by an additional ten months beyond the original five-year term.
The amendment contributes to the Shared Vision 2025 outcome of a Healthy Community by ensuring that SMMC’s biomedical and diagnostic imaging equipment are consistently maintained for use in diagnosis and treatment of its patients. It is anticipated that preventative maintenance on biomedical and diagnostic imaging equipment will be maintained 100% of the time.

FISCAL IMPACT:
The term of the revised agreement is November 1, 2012 through August 31, 2018. The amount of the agreement is not to exceed $4,140,000. The amendment will increase the contract amount by $140,000. Funds in the amount of $140,000 will be included in the SMMC FY 2018-19 Recommended Budget.
Expenses at SMMC are covered by fees for services or third-party payors whenever possible. The portion of expenses for services provided to the medically indigent or to those covered by programs that do not meet the full costs of care are covered by the County’s General Fund contribution to SMMC, and are within the existing annual appropriation.
