RECOMMENDATION:
title
Adopt a resolution authorizing the County Executive, or their designee, to execute a contract amendment with Veoci, Inc. by extending the term by one year to December 14, 2026, and increasing the County's maximum fiscal obligation by $55,431, for a total amount not to exceed $254,147.

body
BACKGROUND:
On December 15, 2022, a contract was awarded to Veoci, Inc., via formal solicitation, for a virtual emergency operations center (EOC) platform to be used by the County and cities within, in the event of a disaster. The virtual EOC platform is essential to the County and our city partners because it is a virtual communication tool used to coordinate services during a disaster. It is also being used as a stopgap, while San Mateo County Emergency Management (SMCEM) creates its own platform.

DISCUSSION:
The current agreement will expire on December 14, 2025. This amendment will extend the term to December 14, 2026, and increase the County's maximum fiscal obligation by $55,431 for a new not to exceed amount of $254,147.

By extending the agreement, SMCEM will have additional time to build and test its own customizable version of a virtual EOC platform. The amendment is a continuation of an ongoing service, and it provides users with ongoing use of a platform that they have become familiar with and has proven to be effective.

The proposed amended agreement is submitted to the Board with this memorandum.

The County Attorney has reviewed and approved the proposed amended agreement and resolution as to form.

COMMUNITY IMPACT:
This resolution aligns with the County of San Mateo's commitment to ensure resources for our communities are available and mobilized in coordinated fashion, in times of a disaster.
