BACKGROUND:

In January 2022, San Mateo Medical Center (SMMC) completed a Request for Proposals for a materials management information system (MMIS), and Infor (US), LLC (Infor) was chosen because of its innovative approach, as well as having the capability to interface with the SMMC’s current and future Electronic Health Record.

 

In May 2023, SMMC and Infor entered into an agreement for the term of May 9, 2023, through May 8, 2028, in an amount not to exceed $3,084,204.

 

DISCUSSION:

As SMMC approaches the go-live date of this MMIS, SMMC discovered several training courses offered by Infor that can assist and guide multiple teams across SMMC to increase user adoption and capture the full value of Infor’s system. This amendment will add workshop courses and increase the amount of the agreement by $200,000 to an amount not to exceed $3,284,204.

 

County Attorney has reviewed and approved the resolution and amendment as to form.

 

The resolution contains the County’s standard provisions allowing amendment of the County fiscal obligations by a maximum of $25,000 (in aggregate).

It is anticipated that 100% of all supply orders will be managed through Infor and will meet all County financial guidelines for processing and paying a vendor.

FISCAL IMPACT:

The term of the amended agreement is May 9, 2023, through May 8, 2028. The amendment increases the amount payable under the agreement by $200,000 to an amount not to exceed $3,284,204 for the five-year term. Funds in the amount of $40,000 are included in the SMMC FY 2023-24 Adopted Budget. Funds in the amount of $40,000 are included in the SMMC FY 2024-25 Recommended Budget. Similar arrangements will be made for future years.

 

Expenses at SMMC are covered by fees for services or third-party payors whenever possible. The portion of expenses for services provided to the medically indigent or those covered by programs that do not meet the full costs of care is covered by the County’s General Fund contribution to SMMC and is within the existing annual appropriation.
