Adopt a resolution authorizing the President of the Board to execute an amendment to the agreement with Three Productions LLC for videotaping, audio/video editing, transcription services, and information technology consulting services, for the Board of Supervisors Board Meetings, increasing the maximum fiscal obligation under the agreement by $185,000, for a revised not-to-exceed amount of $639,000.

BACKGROUND:
The Board of Supervisors meetings are an essential part on the County of San Mateo’s intergovernmental process and showcases the transparency of decision making to the community. With the opening of the new Board of Chambers and combination of in-person and virtual meetings, the County wants to ensure that the meetings are accessible to all during and after the meetings.
DISCUSSION:
The County conducted a competitive process to select a vendor to provide videotaping, audio/video edits, transcription, and information technology (IT) consulting services. After an internal review, Three Productions LLC was the selected vendor. The County Executive’s Office entered into an agreement with Three Productions LLC on December 1, 2023. Since then, Three Productions LLC has met the service standards set forth within the agreement. The County has requested further services to be provided by the vendor and is confident that they will be able to deliver.
Additionally, audio support services have been added to the scope of services provided by Three Productions LLC due to interim operational needs while the Technology Services Department (TSD) develops a long-term service plan.
The County Executive’s Office recommends the Board authorize an amendment to the Agreement with Three Productions LLC for continued videotaping services.
The County Attorney’s Office has reviewed and approved the resolution and amendment as to form.
COMMUNITY IMPACT:
Board of Supervisors meetings help shape the future of the community. The use of real time video recording and transcription services allows the Board of Supervisors meetings to reach the community of San Mateo County. These services help to maintain transparent communication between the elected officials and community members.
FISCAL IMPACT:
The cost of the amendment will be paid from County Executive’s Office Non-Departmental Services budget for FY 2025-27.
