Adopt a resolution authorizing and directing the President of the Board of Supervisors to execute Amendment No. 1 to the Agreement with Pacific Coast Trane for chiller maintenance services at various County facilities, extending the term by two years through October 31, 2028, and increasing the amount by $200,000 for a new not-to-exceed amount of $400,000.

BACKGROUND:
The Department of Public Works (“Department”) is responsible for chiller maintenance services at County owned facilities to preserve and sustain the County’s HVAC equipment.
On July 31, 2023, the Department issued a Request for Proposals for chiller maintenance services. As a result of the solicitation, Pacific Coast Trane was determined to be the most qualified firm to inspect, repair, and perform chiller preventative maintenance at County-owned facilities. Therefore, the Department entered into an agreement with Pacific Coast Trane in an amount not to exceed $200,000 for the term of November 1, 2023 through October 31, 2026 (“Agreement”).
DISCUSSION:
The Department exhausted all available funds on the Agreement due to several unanticipated major repair services. The proposed amendment increases the not-to-exceed amount of the Agreement by $200,000, for a new not-to-exceed amount of $400,000, and extends the term through October 31, 2028 (“Amendment No. 1”).
The County Attorney has reviewed and approved this resolution and amendment as to form.
COMMUNITY IMPACT:
Routine chiller maintenance ensures public safety, reducing taxpayer costs through energy efficiency, extending infrastructure lifespan, and prevents service disruption to vital public operations within County facilities. Proactive upkeep prevents dangerous failures, such as leaks or explosions, while minimizing environmental impact through lower greenhouse gas emissions.
FISCAL IMPACT:
Funding for Amendment No. 1 is included in the Department’s Approved budget for FY 2025-26 and future FY budgets. Funding will be financed through the Facility Service Charges. There is no additional impact to the General Fund.
