Subject: Amendment to Agreement between the County of San Mateo and Versaterm, Inc.
RECOMMENDATION:
title
Adopt a resolution authorizing an amendment to the agreement with Versaterm, Inc. dated November 6, 2018 to increase the not-to-exceed amount by $128,234 to $3,739,309 for go-live delay costs, to purchase an Automated Vehicle Locator server, and to procure a Web Service Interface for the Tablet Command for the Computer-Aided Dispatch system.
body
BACKGROUND:
On November 6, 2018, this Board approved an Agreement to purchase Computer-Aided Dispatch (CAD) system software and mobile computer software. As implementation has progressed, additional cost items have surfaced.
DISCUSSION:
In mid-2019, it became clear that Regional Operations Center construction delays would push back the rollout of the new CAD system. This caused additional project management and implementation support requirements, as well as additional onsite visits from the vendor at the County’s request. The proposed amendment will allow the County to reimburse the vendor for these delay costs.
Additional necessary items not included of the original purchase of the CAD system have come to light during this delay period and now need to be acquired. These systems include an Automated Vehicle Locator (AVL) server and a web service interface between Tablet Command (a service used by some partner agencies) and the new CAD.
Through the proposed amendment, the parties wish to increase the not-to-exceed amounts to include a CAD Go-Live delay cost of $52,994, as well as funds to purchase an AVL server and tablet command interface deemed necessary by our client agencies, in the amount of $75,240, for a total of $128,234.
County Counsel has reviewed and approved the resolution as to form.
