BACKGROUND:

In March 2021, this Board approved the Sheriff’s Headquarters Center Project (Resolution No. 078637). The project includes renovation of the Old Maguire Jail and construction of a new fifth floor to convert the entire facility into a Sheriff’ s Office Headquarters, which will house nearly all of the Sheriff Office’s administrative staff. In August 2022, Amendment One to the Agreement was approved (Resolution No. 078598) which increased the contract amount to cover costs for excluded items not covered by the contract base fee.

DISCUSSION:

The parties would like to further amend the Agreement to increase the amount to cover additional unforeseen costs of renovation project work that is not covered by the contract base fee.

The original Agreement provided that the County would pay a contract base fee of $25,000,000 for the work to be performed by the Contractor on the Renovation Project, as those terms are defined in the Agreement. Amendment One to the Agreement  provided that County shall be responsible to pay for the cost of all renovation project work that is not covered by the contract base fee, including all matters described in the List of Exclusions in the amount of 4,974,816, for a contract total of 29,974,816.

This Amendment Two further increases the cost of services not covered by the contract base fee by $698,735 from $4,974,816 to $5,673,551. This increase covers the costs of the security system installation and equipment including access card readers, security cameras, biometric readers, network switches, security viewing stations and panic alarms.

The resolution and amendment to the Agreement with Vance Brown, Inc. have been reviewed and approved as to form by the County Attorney.

FISCAL IMPACT:

This amendment will increase the amount payable under the Agreement by $698,735, bringing the total amount that may be expended under the Agreement to $30,673,551. Funding for this amendment has been included in the Sheriff’s Office FY 2023-24 Adopted Budget.
